Join our team to help manage the day-to-day business operations of Chromatic. As a Business Operations Associate, you will have the opportunity to contribute to multiple facets of the business. Your role will involve removing operational inefficiencies, leading key revenue-related processes, and working cross-functionally. Your contributions will streamline processes and help scale a fast-growing business.

This is a fully remote position and the candidate should be located in the Eastern Time Zone within the US or Canada.

Responsibilities

Customer Support

  • Respond to customer inquiries via email and Intercom, providing guidance on billing, account management, and ad hoc requests.

Revenue Management

  • Monitor failed invoices and follow up with customers for payment collection.

  • Upload invoices to customer portals, ensuring all necessary information is included for processing.

Revenue Team Support & Collaboration

  • Ensure timely completion of vendor assessment documentation, including questionnaires and security assessments.

  • Audit data and workflows in HubSpot to maintain accuracy and support reporting.

  • Onboard new customers by efficiently setting up their accounts in our systems.

Expense & Vendor Management

  • Review received invoices to ensure all required information is provided for payment processing.

  • Oversee team expenses to ensure compliance with company policies.

  • Verify vendor payments are supported with proper documentation.

Knowledge Management

  • Manage the maintenance and organization of internal documentation (Notion, GetGuru), ensuring new information is regularly documented and up-to-date for team efficiency.

Special Projects

  • Collaborate with the Business Operations Manager on projects, conducting R&D and support initiatives that improve processes, boost efficiency, and enable scalable growth.

Requirements

  • Bachelor’s degree or 1+ years of relevant experience.

  • Strong attention to detail in managing processes and deliverables.

  • Excellent interpersonal and written communication skills.

  • Enthusiasm for learning new tools (e.g., Stripe, HubSpot, Intercom, Ramp, Cledara).

  • A proactive, can-do attitude and eagerness to contribute.

  • Passion for continuous learning, growth, and optimization.
